When a policy is no longer required, you can archive it. Archiving removes the policy from active use while keeping a record for reference or audit purposes.
Archiving a Policy
Go to Edit Policy
Locate the Active flag
Deselect (untick) the Active flag
Save your changes
What happens when a Policy is Archived
The policy will no longer appear in the active policies list.
Archived policies are retained in the system for reference and reporting.
Staff will not be asked to acknowledge or approve archived policies.
Best Practice
Archive policies only when they are permanently retired or replaced.
Use clear naming or versioning (e.g., “Superseded by Safeguarding Policy 2025”) to avoid confusion.
Keep your active policy list tidy by regularly reviewing and archiving outdated items.
